Bacchus Marsh Grammar is an independent co-educational grammar school in northwest Melbourne. With two campuses, a P-12 campus in Maddingley and a P-8 campus in Woodlea as well as an early learning centre. Bacchus Marsh employs over 450 teaching and admin staff throughout three campuses.
Bacchus Marsh was established in 1988 and has become a leading school with over 30 years in operation. Not only is Bacchus Marsh Grammar passionate about providing quality education, but they are also committed to digital excellence to better the learning experience and to increase efficiency within school operations.
Bacchus Marsh Grammar was searching for a solution to digitise their manual accounts payable processes and auditing procedures and eliminate manual record keeping, approvals, paper-based systems and review of invoices. The goal was to expand their existing operations and streamline processes to create better workflows for the school overall.
The new system was required to meet all needs and integrate with Synergetic, allowing for seamless linking between the two platforms.
Bacchus Marsh Grammar partnered with Alii to solve their accounts payable challenges. Alii assisted Bacchus Marsh Grammar with invoicing and auditing processes while eliminating the need for manual proofing and paper-based systems.
Alii gave Bacchus March Grammar the tools to simplify their procure-to-pay processes, allowing staff to create purchase orders easily, delegate approvers to a specific business unit and track the progress of multiple invoices in one place. Alii improved transparency, accountability and visibility, making it easy to show data and financial records when auditing. Finance staff were impressed with the pipeline and ability to monitor actions and current invoice status, as well as the general usability of the platform being intuitive enough that the team can use Alii effectively with only a few hours of training.
Bacchus Marsh Grammar has reported that since implementing Alii, they have seen an increase in efficiency within invoice processing. The platform has allowed them to see all invoices created from start to finish, allowing easy data extraction for auditing needs.

Improved governance: With an inbuilt audit trail, linking of invoices and purchase orders, and a direct integration with their existing school management and finance software, Bacchus Marsh Grammar has improved their auditing procedures with all trails accounted for.
